The result is “partial success” that looks green in dashboards but leaves specific users or folders unprotected run after run.Users with atypical roles fall through the cracks.Users with aliases, shared mailboxes, group-owned drives, or recently migrated identities often sit outside the straightforward “one user = one mailbox” model the backup tool assumes. If the tool relies on static inclusion lists or one-time setup, those special cases can be silently excluded indefinitely.SaaS platforms enforce per-user and tenant-level API limits. When backup jobs hit those limits, some tools simply time out or partially complete without robust retry and reconciliation.The Recovery Time Problem That Compliance Frameworks IgnoreIn fragmented stacks, full recovery from a SaaS ransomware incident typically takes 3-4 weeks (at very best) once you account for scoping, coordination, and multi-tool restores.With a unified platform handling detection, impact analysis, and targeted restore in one place, customers routinely bring that down to under 2 hours for comparable incidents.Most of the “lost” time isn’t fighting malware.Here’s what a typical ransomware incident timeline looks like before consolidation:Alert to basic triage: 4-8 hours. First signals are user tickets (“my files look scrambled”) plus generic alerts in M365, Google Workspace, and sometimes CASB or SIEM. It’s how many of those apps have far broader, long-lived permissions than anyone realized, often on accounts nobody is actively using anymore.20-30% of apps hold most of the dangerous scopes.It’s common to see hundreds of OAuth apps and browser extensions connected across a mid-size tenant. Roughly a quarter of apps in environments like Microsoft 365 have high-risk access to mission-critical data.Many “just collaboration” tools request tenant-wide scopes well beyond their stated purpose.The Salesloft/Drift incident exposed how a chatbot integration with broad Salesforce and Google Workspace scopes became a high-impact exfiltration path when its OAuth tokens were stolen.60-80% of OAuth apps are dormant but still dangerous.When teams compare their mental model (“these are the 20-30 tools we really use”) against what unified assessments find, environments often show hundreds of connected apps with valid tokens, but security and IT can typically name only a few dozen they believe are in active, sanctioned use.Roughly 20-40% of OAuth apps and extensions are genuinely in use, while 60-80% are dormant or abandoned but still holding live access.Many of those “forgotten” apps retain broad scopes and valid refresh tokens, making them ideal pivot points. In analyses of the Salesloft/Drift breach, many customers were exposed through stale tokens: integrations they had stopped using but never formally revoked, leaving a permanent backdoor into Salesforce and other SaaS data.OAuth tokens maintain access until revoked. Setting MFA or changing credentials will not affect the application token generation capabilities.Usage data changes the revocation conversation.There’s initial resistance when we walk teams through revoking stale tokens. Business and app owners worry: “What if a workflow depends on this and we don’t know it?”Once teams see usage data instead of just a list of app names, revoking most stale tokens becomes straightforward.
